A practical guide from Allieta
Compare providers using the same workload: team size, channels, AI activity, and required capabilities. A seat, an outcome, and a credit measure different things. Starting prices alone cannot establish which tool costs less.
Define the work before comparing prices
Write down who needs access, which channels you need, and the actions a typical conversation includes. Separate short questions from longer exchanges, human escalations, and lead-capture flows. Use a sample from your own workload instead of assuming every conversation consumes the same amount.
List the capabilities you cannot compromise on: email ticketing, phone support, a specific integration, or an approval process. Eliminate a tool that cannot meet a requirement before estimating savings.
Identify what each provider bills
Intercom’s combined helpdesk and Fin plans charge for teammate seats and usage. Standalone Fin can work with an existing helpdesk without Intercom seat charges; include the cost of that existing helpdesk in your comparison. Zendesk lists agent-based plans, with channels and AI capabilities varying by tier. Crisp publishes workspace plans with included seats and AI allowances.
Allieta publishes plans with usage-credit allowances. Credits measure supported operations, not whole conversations. Check action rates, plan limits, and available top-ups in the dashboard when estimating your cost.
Build a complete estimate
Include the subscription, additional seats where charged, AI usage beyond allowances, required add-ons, channel-provider charges, and applicable taxes. Compare the same currency and billing period. An annual monthly equivalent is not a month-to-month subscription price.
Ask what happens at a limit: does service pause, require a purchase, or incur an overage? Confirm which limits apply even when you have spare usage credits. Keep uncertain items marked as questions rather than replacing them with zero.
- Base plan and billing period
- Team access and additional seats
- AI allowance and excess usage
- Required capabilities and add-ons
- Channel-provider charges
- Taxes, currency, and renewal terms
Turn a conversation estimate into a workload
Illustrative example: 200 conversations averaging three AI replies each produce 600 AI replies. That is not automatically 600 credits or 200 billable outcomes. A credit-based provider may charge different rates for different actions; an outcome-based provider applies its own definition of an outcome.
For a credit estimate, multiply each measured action count by its current credit rate, then add the results. Compare the total with the plan allowance and the cost of any permitted top-up. Add the subscription and other applicable charges. Use dashboard measurements to replace the example assumptions before making a purchase decision.
Include the cost of the workflow
Trial the same questions and content in each shortlisted tool. Check source quality, human handoff, and the work required to follow up. A lower subscription fee can still be a poor fit if your team must manually reconstruct every conversation.
Allieta is worth evaluating for content-based AI replies, website and supported messaging channels, live handoff, and lead management in one workspace. It does not currently provide an email inbox channel or a phone-support suite. If those are essential, compare alternatives with that requirement in view.
Choose a plan from observed use
Start with a representative test and record usage. Estimate a normal period and a busier one, then compare those estimates with the current plan allowances. Treat the result as a budget estimate, not a guaranteed future bill.
Allieta’s Free, Starter, and Professional plans are shown on the pricing page. Enterprise is a sales discussion, not a zero-price plan. Review the final currency, total, and available payment methods before purchasing.
A buying worksheet
Copy this structure into your team’s review document and fill it with your own evidence.
| Requirement | Provider estimate | Question to resolve |
|---|---|---|
| Team access | Included seats plus any additional seats | Which roles require paid access? |
| AI activity | Measured actions, outcomes, or credits | What counts as a billable unit? |
| Customer channels | Plan access and provider charges | Which channels are supported? |
| Higher demand | Allowance plus permitted extra usage | What happens at the limit? |
